The Observatory Library
The Library is an integrated document management facility.
It allows you to create, delete, revise, control access to, respond to, and create new versions of documents using both Notes and Web Clients.
The library layer contains user created documents in a variety of pre-defined formats. Any document can be associated with any project, program, organization, or commitment. The list of associated documents is displayed as part of the report (as well as in the library views).
Library documents support versioning from Notes and Web clients.
Library documents fall into two classes, documents that require future action, and those which do not. Action class documents are supported by the Library reminder service that will notify one or more people when a document requires attention.
A Notify on Response method is provided so that authors can be immediately informed when responses are posted to their documents.
Additional formats can be created by the customer and, once installed, will appear as native formats.
Built-in Document formats
Standard - A general purpose form for all kinds of material including design specifications, site diagrams, engineering drawings, project photographs, resumes, etc.
Charter - A special format for defining organization and project charters.
Discussion - A form for initiating group conversation about non-time critical subjects.
Status Report - A general purpose format for recording accomplishments and objectives associated with a specific point in time. Integrated with the briefing system.
Meeting Minutes - A general format for recording the results of significant meetings.
Problem - Equivalent to a Project Gateway issue, this format provides a process to initiate and resolve time critical problems. Problem documents are recognized by the Issues Report generator and by the briefing system.
Risk - A risk definition form used to lay out potential future problems, mitigation strategies and contingency plans with time-based triggering for review. Risk documents are recognized by the briefing system.
Change Request - A formal request to document scope change. Contains approval and implementation blocks.
Action Item - A time-sensitive assignment.
Web Page Link - A form that allows you to easily connect any Internet addressable document to any Observatory Report.
Briefing Page - A "bullet point" presentation format that can appear as part of a briefing.
Briefing Link - A format that is interpreted to insert external documents into a briefing.
Security is provided with read and edit access controls on all library documents. Named users can be listed for each documents.
